Follow the payment from invoice to deposit.
Make a list of the ways clients pay you. A single deposit may combine several invoices or arrive after platform fees have been deducted. Keep enough detail to explain the difference between the amount billed and the cash deposited.
Before a consultation, identify overdue invoices, deposits you cannot match, and payments that may have been recorded twice. Bring the platform reports as well as the bank statement when both are involved.
Give each business expense useful context.
Keep the invoice or receipt with a short description of the business purpose. Flag mixed business and personal spending for review instead of applying an unsupported percentage or guessing at a classification.
List recurring software, professional costs, equipment purchases, and other expenses that are easy to overlook during busy periods. The goal is an organized set of records for review, not an assumption that every payment receives the same tax treatment.
Prepare questions before the filing work begins.
A change in income, a new line of work, an additional business, or a major purchase can affect the information needed for tax preparation. Note when the change happened and gather the related records.
Use the first conversation to distinguish recurring bookkeeping from return preparation and forward-looking planning. Ask which records must be complete, who handles missing information, and when to revisit the arrangement if the practice changes.
