Choose a simple, repeatable structure.

Group documents by business or taxpayer, then by period and record type. Keep a consistent naming pattern so the person preparing the books can identify what a file covers without opening every attachment.

For example, a statement filename can identify the year, month, institution, and a non-sensitive account label. Avoid placing full account numbers or identity numbers in filenames. Keep a short note explaining your folder structure for anyone who needs to use it.

The IRS explains that supporting documents help substantiate the information recorded in the books and reported on returns. The records needed depend on the business and transaction.

  • Retain invoices, receipts, statements, and relevant agreements.
  • Add context for unusual purchases, transfers, refunds, or owner payments.
  • Distinguish final documents from drafts or corrected versions.
  • Keep a separate list of documents that are missing or still being requested.

Review access, backups, and retention.

Know who can access the records and how a copy can be recovered. Before changing software or providers, confirm that the business retains access to the files it needs.

Do not apply a single disposal date to every document. The appropriate retention period depends on the record and the circumstances, and federal tax guidance is not the only possible requirement. Review the IRS guidance and discuss your actual records before deleting an archive.
