Build a routine that fits the operation.

Map the places where money enters and leaves the business: bank accounts, cards, payment processors, loans, customer invoices, and supplier bills. Identify who holds each record and when it becomes available.

The first bookkeeping discussion then becomes specific. Which accounts are reconciled? Which periods are complete? Are transfers, owner transactions, or settlement fees creating questions? A consistent close starts with those details.

Know what you need from the reports.

A report is more useful when it answers a question the owner actually has. You may need to understand an unusual expense, unpaid invoices, a seasonal cash shortfall, or the effect of a planned purchase.

Bring the current report and describe what is unclear. Before comparing periods, confirm that the dates and accounting basis match. Keep a record of unresolved items so a provisional number is not mistaken for a finished one.

Connect the monthly work with the next deadline.

The person maintaining the books and the person preparing a return need a shared handoff. Agree which reports, reconciliations, schedules, and supporting documents will be ready, and who resolves any remaining questions.

Payroll, tax filings, cleanup, and advisory work are not automatically part of the same engagement. Naming each responsibility prevents an owner from discovering an unassigned task just before it is due.

  • Bring a list of systems and accounts.
  • Identify the last completed close and the next reporting need.
  • Describe any planned financing, equipment purchase, or operating change.
