Describe the business.
Note what the business does, where it operates, the entity type, how customers pay, which accounting system is used, and who currently handles the books. Mention payroll, point-of-sale, merchant, inventory, or project systems that feed information into the accounting records.
Name the immediate problem.
Choose the issue that matters most: records behind, accounts not reconciled, tax documents incomplete, reports difficult to understand, cash flow unclear, or a business decision approaching. A focused problem makes the first conversation more useful.
Establish the starting point.
Write down the last month or year that is complete, every financial account involved, the records already available, known missing documents, and any filing, lender, owner, or operating deadline already on the calendar.
Confirm the proposed scope.
Ask which records and periods are included, who performs and reviews the work, what the client must provide, what the deliverable will be, when it will be ready, what determines the fee, and which services are separate.
Gather the documents that help.
Collect recent statements, the prior-year return, notices, and reports that show where the books stand. You can attach up to 10 files to your request, 20 MB each.
Agree on the next step.
Leave the conversation knowing what information is needed, who provides it, the next review date, and the proposal or deliverable to expect.
A useful outcome
The first conversation should clarify—not overwhelm.
You do not need to diagnose every accounting issue before reaching out. The purpose of the first conversation is to establish the facts, define the immediate priority, identify missing information, and decide whether a more detailed review is appropriate.
When the work fits, you receive a written scope covering the period, accounts, returns, deliverables, responsibilities, timing, fee, exclusions, and how documents are exchanged.
