01. Tell us what needs attention.

Start with the work that prompted your search. Are the books behind? Is a return coming due? Are you trying to understand a report or decide whether the business can support a purchase? You do not need to diagnose the accounting problem before getting in touch.

Your first message can be brief. Name the software you use, the last completed period, and the most important date. Include whether another bookkeeper, tax preparer, or payroll provider is involved. That context helps identify the right starting point.

02. Separate the work into a written scope.

Cleanup, monthly bookkeeping, tax preparation, and advisory work have different endpoints. Before starting, agree which of those tasks belongs in the engagement and which needs a separate discussion.

The scope should leave both sides with the same expectations. A busy filing deadline is not a reason to leave responsibility unclear.

  • Which accounts, entities, returns, and periods are included?
  • What records will you provide, and how will they be shared?
  • Who answers questions, reviews the work, and approves the next step?
  • What are the fee, timeline, deliverables, and exclusions?

03. Begin with records and responsibilities in place.

Once the work is agreed, organize the starting records and identify anything missing. Keep a single list of open questions rather than answering the same issue in several messages. For recurring work, agree on a practical time to supply records and review the finished reports.

At the handoff, confirm what was completed, what remains open, and who owns the next action. A first engagement might end with corrected books, a prepared return, or an analysis of a business question. The next phase should be a deliberate choice, not an assumption.
